What You Missed on the Walkthrough: A Smarter Site Survey Checklist for AV Pros
The Survey That Looked Fine on Paper
You've been on that job. You walked the space, took your measurements, photographed the electrical panel, poked your head in the ceiling, and left feeling good about the scope. Then day one of the install rolls around and you discover the building management team has a no-core-drilling policy that nobody mentioned. Or the existing conduit everyone assumed was empty is packed with high-voltage runs. Or the "dedicated circuit" on the drawings is shared with the HVAC unit that kicks on every forty minutes.
None of that showed up in the walkthrough because you didn't know to ask.
Site surveys are one of those skills that look simple from the outside and reveal their depth the hard way. Here's what to add to your process before the next one.
Start Before You Walk Through the Door
The most valuable parts of a site survey often happen before you set foot in the building. A few things worth doing in advance:
Pull the building drawings if you can. Mechanical, electrical, and architectural drawings tell you things a physical walkthrough can miss — especially in finished spaces where you can't see inside walls. Your facility contact may not volunteer these; ask specifically.
Research the building's history. Older buildings, historic properties, and anything that's been through multiple tenant buildouts may have layers of legacy wiring, asbestos-containing materials in ceiling tiles, or structural modifications that aren't reflected in current drawings. A quick conversation with the building engineer before you visit can save you hours of surprises.
Find out who the actual decision-makers are. The person who booked your site visit may not be the person who controls access to the mechanical room, approves penetrations, or signs off on changes to the network infrastructure. Identify all stakeholders before you show up with a clipboard.
The Electrical and Infrastructure Questions Most Surveys Skip
Power is the category where assumptions cause the most damage. Beyond confirming that outlets exist, dig into:
- Circuit sharing. What else is on the circuits you're planning to use? HVAC, refrigerators, coffee machines, and copiers all introduce noise and load fluctuations. Ask to see the panel schedule, not just the outlet.
- Ground quality. Is this a building with known grounding issues? Older commercial spaces and buildings that have been renovated piecemeal are common offenders. A quick check with a simple outlet tester during the survey takes thirty seconds and can save hours of hum troubleshooting later.
- Generator and UPS status. If the client expects the system to function during a power outage, find out what's actually on backup power — and what isn't. "We have a generator" doesn't mean your AV rack is on it.
- Data infrastructure. Who manages the network? Is it in-house IT, a managed service provider, or a third-party telecom? What's the process for getting a port activated or a VLAN provisioned? These workflows can add days to your timeline if you don't map them early.
RF and Interference Factors That Don't Show Up in Measurements
Wireless system performance is one of the most context-dependent things in AV, and a single-visit RF scan only tells part of the story.
Ask about neighboring tenants. In multi-tenant buildings, the RF environment can change dramatically depending on what's happening on adjacent floors or in adjacent suites. A gym with Bluetooth-heavy equipment, a broadcast studio, or a tech company running dense Wi-Fi infrastructure can all affect your frequency coordination.
Find out about recurring events. A corporate boardroom that hosts quarterly all-hands meetings might sit in a building that turns into an RF nightmare when the conference center two floors down is fully loaded. If you only surveyed on a quiet Tuesday, you don't have the full picture.
Check for LED lighting and dimmer systems. Modern LED retrofit fixtures and poorly shielded dimmer systems are underappreciated sources of RF interference. If the space has recently had its lighting upgraded, ask what equipment was used and whether there have been any complaints about wireless performance.
Structural and Physical Access Realities
This is the category where "I assumed" becomes the most expensive phrase in AV.
- Confirm ceiling access and plenum status. Is this a hard-lid ceiling, a drop ceiling with accessible plenum, or a finished architectural ceiling that requires a permit and a drywall contractor to penetrate? The difference in labor and timeline is enormous.
- Ask about weight limits. Structural attachment points for displays, speakers, and rigging have load ratings. In older buildings especially, those ratings may not be obvious and may require an engineer's sign-off before you can hang anything.
- Walk the cable path, not just the endpoints. Where are you actually running cable? Through finished walls? Across a raised floor? Down a conduit that may or may not have pull string? Walk the entire path, not just the source and destination. Pay attention to fire-rated assemblies that require specific cable types and firestopping.
- Document elevator and freight access. For large displays, racks, and speaker systems, find out how equipment gets into the building and to the floor. Freight elevator dimensions, loading dock hours, and stairwell clearances matter more than you think when you're trying to get a 98-inch display to the fourth floor.
The Stakeholder Communication Survey
Here's the piece almost nobody writes on their survey form: how does this client communicate, and who has the authority to make decisions?
Misaligned stakeholder expectations cause as many installation problems as bad wiring. Before you leave the site, try to answer:
- Who is the primary point of contact during the install? Is that person on-site or remote?
- Who approves changes to scope if something unexpected comes up?
- Are there any blackout dates, restricted access windows, or operational constraints that will affect your install schedule?
- What does the client consider a successful completion? Is it a signed punch list, a user training session, a specific deadline?
Write all of this down. Put it in your project file. Reference it when the scope conversation happens — and it will happen.
Make Your Survey a Living Document
A site survey isn't a one-time event. It's the foundation of your project risk model. Treat it that way.
After every install that threw you a curveball, go back and ask: was that something I could have caught on the survey? More often than not, the answer is yes — if you'd known to look for it.
